More club meetings, more students showing up

King School chose Club Hub to give administrators real oversight of clubs and increase student involvement, after years of struggling to hold clubs accountable and communicate requirements to each of them.

The challenge

Clubs that lost steam by midyear

Before Club Hub, King School had no single place to collect information on all its clubs or communicate requirements to specific ones. Clubs lost focus, organization, and leadership by the middle of the year, and messages were scattered across WhatsApp and email. This year, 600 messages moved through Club Hub instead, and clubs met on average every other week.

“Club Hub has provided a platform that better engages our leaders and members by creating a single place for the club's vision and agenda, meeting schedules, enrollment, attendance, and communication. This year, we have been able to peek into club activity and respond to those clubs whose drive has been flagging.”Jonathan CoulombeAssociate Head of Upper School, King School
In their words

A conversation with Jonathan Coulombe

As an administrator, what do you find most valuable for overseeing club activities?
There are numerous benefits for me, but the easiest is to track club activity, enrollment, and attendance. It's been a game changer.
How has Club Hub streamlined club management at King School?
I can communicate with club leaders, faculty advisors, or members through the platform, and I can easily determine which clubs have been meeting, what their agendas have been, and who has attended. We can then follow up with students who are not sufficiently engaged.
How has it contributed to increasing student participation?
The main page is very engaging and clear, so students can easily see which clubs are active. Clear oversight has also kept clubs on task: members know their club needs a plan to remain approved, and that keeps them involved too.
How has communication improved?
Clubs alert members about upcoming speakers and agendas, so the schedule is clearly planned and communicated through the platform. This has been a huge upgrade from traditional emails, and everything remains clearly logged.
The outcome

What changed in year one

  • 10 inactive clubs identified. An administrator paused them and met with club leaders to set a plan to increase meeting frequency.
  • 90% of club meetings took attendance using QR codes, and average attendance grew as students joined 3 more clubs each on average.
  • A public clubs page now shows every club to parents and prospective students.
  • 95% of students log in weekly, and each Club Hub email is opened 1.5 times on average.

“Club Hub has allowed students across our school to easily access all club information with the click of a button. The weekly emails and schedules help maximize club attendance and engagement, and have helped students find ways to easily engage with our club community here at King.”Charlie HillSenior & Student Government President, King School
